2. What Data We Collect

We collect and process limited personal data, primarily for communication and service delivery purposes. The types of personal data we may collect include:

  • Your name

  • Your email address

  • Any other contact details you choose to provide (e.g. phone number)

  • Records of our communication with you

We do not collect sensitive personal data unless voluntarily shared by you and necessary for service delivery.

3. How We Use Your Data

We use your personal data to:

  • Respond to your enquiries and provide coaching/consulting services

  • Manage our business relationship with you

  • Send relevant service-related communications

  • Maintain internal administrative records

We do not use your data for marketing purposes without your explicit consent, nor do we sell or share your personal data with third parties for advertising.

Under the UK GDPR, we process your personal data based on:

  • Contractual necessity – to provide you with the services you’ve requested

  • Legitimate interests – for basic business operations and communication

  • Consent – where required, such as for optional updates or mailing lists

5. How We Store and Protect Your Data

We take data security seriously. Your data is processed and stored securely using the following systems:

  • Hubspot (hosted in the EU): used to manage contact details and communication.

  • Google Workspace (hosted in the EU): used for email and document storage, and calendar and invite management.

  • Microsoft OneNote: used for coaching session notes, which are anonymised using a coded system and password protected. These notes do not contain identifiable personal data and are therefore not classified as personal data under the GDPR, however this information is provided here for complete transparency and clarity.

  • Zoom (hosted in the EU): used for online video calls for coaching sessions. Coaching sessions are not recorded or transcribed unless you have given your explicit consent in writing or verbally within the recording itself.
  • WhatsApp: for communicating with prospective and actual clients. Only used to communicate with people who are already on WhatsApp, and as content of conversations is encrypted no personal data not already held by WhatsApp (Meta) is transferred.

Access to all systems is restricted, encrypted, and password-protected.

6. Data Retention

We retain your personal data only for as long as necessary to fulfill the purposes we collected it for, including any legal or regulatory obligations. Typically, this means we keep your contact data for up to 6 years after the end of our working relationship unless you request otherwise.

7. Your Rights

Under the UK GDPR, you have the right to:

  • Access the personal data we hold about you

  • Correct any inaccurate or incomplete data

  • Request deletion of your personal data (subject to legal obligations)

  • Object to or restrict certain types of processing

  • Withdraw your consent (where applicable)

8. Third-Party Processors

We only share your data with trusted third-party service providers (subprocessors) who help us run our business, and only where strictly necessary:

  • Hubspot – CRM and communication management (hosted in the EU)

  • Google Workspace – Email and document storage (hosted in the EU)

  • Zoom – Video calls for coaching sessions (hosted in the EU)

All third-party providers comply with EU/UK data protection laws and are contractually bound to keep your data secure and confidential.

9. Cookies and Website Usage

We may use cookies to enhance your experience on our website. These cookies do not collect personal data unless you submit a form. You can disable cookies through your browser settings at any time.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal obligations. The most current version will always be available on our website, with the effective date clearly noted.
